Obsidian is a strong choice for people who want to own their notes, connect ideas, and build a personal knowledge base. But choosing a note-taking tool also means choosing how you want to work.
Some people want a simpler writing experience. Others need shared project documents. And increasingly, people want their notes to become useful context for the AI agents they work with.
The best Obsidian alternative depends on which of those needs matters most.
This guide compares six options: Notion, AgentGrid, Craft, Logseq, Bear, and Joplin. It is published by AgentGrid, which we include specifically for shared knowledge and human–agent collaboration.

These are recommendations by use case, rather than a universal ranking. Start with the problem you want to solve.
A short Obsidian review: what it does well
Obsidian stores notes on your device as Markdown files, plain text with lightweight formatting. It works offline and supports links between notes, a graph of those connections, and a canvas for arranging ideas visually. Its plugin ecosystem lets you customize how you capture and organize information. Explore Obsidian’s features.
That makes it particularly appealing for research, journaling, and writing that accumulates over time. A useful note can remain readable outside the application that created it.
The trade-off is the number of choices available. You decide how to organize your notes, which plugins to install, and how much structure to maintain. That freedom can be valuable, but it can also overcomplicate an otherwise simple habit.
Obsidian’s core app is free, including for commercial use. Optional official Sync starts at $4 per month when billed annually. Sync also supports shared vaults, so collaboration is possible.
Before switching, identify the specific friction: writing, organization, sharing, or working with AI. Each points toward a different alternative.
1. Notion: for shared knowledge and project work
Notion is worth considering when notes are part of a larger team workflow. Its product brings together documents, knowledge bases, projects, and AI capabilities within a shared workspace.
For example, a product launch might require a brief, a task list, meeting notes, and a place to record decisions. Our recommendation would be to evaluate Notion when keeping those materials together for a team matters more than managing individual text files.
The main decision is whether you prefer a workspace model or a local file model. Someone who enjoys opening the same Markdown folder in different applications may prefer Obsidian’s approach.
Notion also supports offline pages in its desktop and mobile apps. However, pages must be available offline, and downloaded databases have documented limits. It is worth checking those details if you regularly work without a connection.
Choose Notion when: shared documentation and coordinating projects are your main priorities.
2. AgentGrid: for shared knowledge that AI agents can use
AgentGrid becomes relevant when your question changes from “Where should I write this?” to “How can another person or agent continue working from it?”
Its shared working-memory approach lets connected agents use common project knowledge and outputs. You can keep research, instructions, decisions, and deliverables together, then ask another agent to continue from the current work.
AgentGrid supports editable Markdown documents, runnable web apps, and stored assets. That makes it useful when written research needs to become a brief, a presentation-style web artifact, or an interactive tool.
For example, you might collect customer research in Obsidian, bring selected notes into AgentGrid, and ask an agent to produce a launch brief. A teammate or another connected agent can then continue the brief. Saved changes have human or agent attribution in the artifact’s history. See how version history works.
AgentGrid should be evaluated for that shared workflow. If your primary requirement is an offline editor for a local vault, Obsidian remains the more direct fit.
Choose AgentGrid when: project knowledge needs to move between people, AI agents, and working deliverables.
3. Craft: for polished documents and AI-connected knowledge
Craft combines document writing, sharing, and publishing with a visual editing experience. It works in a browser as well as installed apps, and supports importing and exporting Markdown.
We would shortlist Craft when the presentation of a document matters alongside its content: a client proposal, a shared project brief, or a readable team reference.
Craft also supports MCP, a standard that connects external AI tools to selected content. That makes it relevant if you want assistants to work with your documents. Connecting AI to knowledge is an area of overlap with AgentGrid; evaluate the complete workflow you need.
For document-centered work, Craft deserves a close look. For work spanning source material, shared documents, runnable apps, and attributed agent contributions, evaluate AgentGrid against that broader task.
Choose Craft when: you want polished documents with access for compatible AI tools.
4. Logseq: for people who think in outlines
Logseq’s distinctive feature is its outline-based approach. You work with nested bullets, or blocks, which can connect to other parts of your knowledge base. Journals provide a natural starting point for daily capture.
This can work well for meeting notes. A discussion becomes a group of bullets; decisions and follow-ups sit underneath the relevant topic. You can build connections without turning every thought into a separate essay.
The same structure may feel restrictive if you mostly write long paragraphs. Moving to Logseq makes the most sense when you want a different way to think and organize, rather than simply a different interface.
Choose Logseq when: daily notes, nested ideas, and connections between individual thoughts match how you already work.
5. Bear: for focused writing on Apple devices
Bear is a Markdown note-taking app for Mac, iPhone, and iPad. It combines writing, tags, images, and attachments in a focused interface. Its Pro subscription adds iCloud sync, additional export formats, and search inside images and PDFs.
We would shortlist Bear for someone who opens a note-taking app primarily to write: capture an idea, draft an article, or organize personal reference material.
Compared with an extensively customized Obsidian setup, Bear offers a more contained set of choices. That can make it easier to settle into a writing routine.
The platform restriction is the clearest deciding factor. If you need the same application on Windows or Android, look elsewhere.
Choose Bear when: you use Apple devices and want a polished place to write with relatively little setup.
6. Joplin: for open-source notes and flexible sync
Joplin supports Markdown and rich-text editing, multimedia attachments, a web clipper, and plugins. It is available across major desktop and mobile platforms and supports synchronization through services including Joplin Cloud, Dropbox, and OneDrive.
It deserves a place on your shortlist if your knowledge base includes practical reference material: saved web pages, PDFs, images, instructions, and everyday notes.
Joplin Cloud also provides sharing and collaboration. Its appeal extends beyond solo note-taking, although the best choice still depends on the experience you want around those notes.
Our recommendation is to test it with a representative collection of content. Import several notes with attachments, try searching for them, and check whether the editing and sync workflow feels natural.
Choose Joplin when: open-source software, mixed-format notes, and a choice of sync services matter to you.
Use Obsidian and AgentGrid together with one canonical version
You can keep working in Obsidian while making the same selected project knowledge available in AgentGrid. An agent with read and write access to both locations can be instructed to update both whenever it changes that material.
The key is to choose a canonical version: the authoritative copy that determines the intended content. The second copy mirrors it. For personal research, you might make the Obsidian note canonical. For a shared project brief, you might make the AgentGrid artifact canonical.
Set up the workflow
- Choose the documents to maintain in both places. Map each Obsidian file to its AgentGrid artifact URL.
- Record which copy is canonical. Make that choice explicit for each document, so every agent follows the same rule.
- Give your updating agent access to both. Connecting it to AgentGrid alone does not provide access to your local vault; that needs a separate authorized file-access tool or Obsidian integration.
- Instruct it to update both after every change. Save the approved change to the canonical document, then update the paired copy.
- Verify both saves. Have the agent read back both documents and report any differences or unfinished updates.
A standing instruction for your agent
For the project documents listed below, always keep the Obsidian and AgentGrid copies updated. Each entry identifies the Obsidian file, the AgentGrid URL, and which is canonical. Before editing, read both copies. If they contain conflicting or unreviewed changes, flag them before overwriting either copy. Apply the agreed update to the canonical version, then mirror it to the paired copy. Preserve the agreed content and supported links and attachments, and report anything that cannot be preserved. Read back both saved copies before reporting completion. If either location is unavailable or a save fails, report exactly what remains pending.
Store this instruction where your agent reads its project instructions, and give it to each agent responsible for updates.
For example, keep customer research canonical in Obsidian. When your agent adds an approved interview finding, have it update the paired AgentGrid document too. Other connected agents can then use that shared research to develop a brief. If they propose changes to the research, route those changes through the same update process.
This is an agent-managed workflow you configure. It does not establish built-in automatic sync, background monitoring, or complete vault backup. Before expanding beyond one project, check your links, attachments, and special formatting in both places. Keep personal notes outside the shared set unless they are needed for the work.
